I have had a couple providers respond to my mailings and request more information and now I need to call them back and follow up with them. My question is if they currently have billing staff that doesn't know they are looking to outsource how do I leave my information? The last thing I want to do is create office drama!

I am not an expert, but my thoughts would be to request exactly the name that sent the request for more info. If that person isnt available, leave your name and contact number and tell the person you are leaving the info with, that you are responding to their request that you contact them. If they ask what it involves, just state that it is private/protected info and would need to speak directly to them. With hippa laws, whoever you speak with, should understand and not hassle you to much, and if you mention you are returning their request to contact them, your message should get through.

how did you go about marketing for your company? Did you just mail information? If so did u just goole local doctors in your area

Just from my experience, a lot of Practice Managers are also the "billers" . The Pediatrician's office I signed up as a client is that way. Its a 1 physician practice and her husband is the PM. The previous office I worked, I was the PM and biller rolled in 1. If they outsource, that person doesn't necessarily lose their job, but they may downgrade them to another administrative position.

If they called you and requested information most likely it is perfectly ok to leave a message at the number they provided. If they didn't want someone to know what they were doing they would have indicated in the message that you need to call at a certain time, or that they would contact you. We have actually had a couple of situations like this and the dr made it clear to us that he didn't want certain people to find out.
If you have to leave a message I would definitely indicate you are returning the dr's call, but other than that be vague. Leave your name and return phone number, and good times to reach you.
