Finally! Signed my first client!! Two questions..

This is where it becomes very complicated. YOU can't compromise principals and legalities to get the client.

This is an experience I would actually LEARN from. I would insist the provider decide on a PM system, if I were the new biller coming on I would capitalize on their experiences from the old billing company and lead them down a better path that would protect them from the same problems they could experience later on. Some may not agree with me, but that's ok. IF you are going to use your own PM system I would comfort them with protections in place to ease their concerns about ending the contract. Once a client has been burned they can't see past that and you want to make their transition as smooth as possible. If your going to start over with a new PM system there is going to be delay's and they may eventually find themselves in the same boat later. How I have obtained clients in this same scenario has been easy.. I let them choose their PM solution, I contract with them to access their system and we have NO delay, and no transitional problems. If you go with the status "quo" and same way the other billing company went with ONE software you are putting your client and you right back where they are starting now. This is a learning experience. IF the client nor the new billing company (YOU) don't learn from it, well, eventually you will find yourself in the same position.

TRUST me when I say this.. do NOT bend over backwards JUST to get the client. Especially when there are things to consider that would NOT be in your best interest.

Hi Linda - So I will actually be using the providers EHR system. I will not be using my own PM billing system. I will log into the providers EHR system remotely to access the patient services. All clinical documentation and billing will be handled under the providers EHR system. The problem is that their current billing service is using her own PM system and so the information is all captured within her PM system and not the providers EHR system I will be using. To get a clean start moving forward in the providers EHR system I was thinking of doing a balance forward. This would essentially take the monies due both from insurance and patient and input the balances due into the providers EHR system. This will at least allow reconciliation of payments and allow statements to continue for patient balances. The provider is not willing to 'let go' of their patients accounts.

You can use the "balance forward" but the issue will be differentiating between insurance balances and patient balances so be careful.  We have had providers ask us to recover some money by handling claims that were originally submitted by the previous biller.  We do sometimes do this depending on the situation.  But if you are bringing over balances you don't want to be billing the patient for balances that are out to insurances.  See if you can figure out a way to keep them separate.  Since you will be using the provider's system they may want to consider having you input the month of December even if you aren't billing it so that you will be able to post payments and track it.  Just a thought.

So what PM system will you be using?

I will be using the providers behavioral health EHR system, Valant. All clinical documentation and billing will happen within.
