Software needed

Hi guys,

I'm new to this forum but have been reading it for a little over two weeks. First of all thank you very much for the wealth of information. I'm setting up my medical billing business which is scheduled to start in October. I have one client already who is willing to move over. It is a medical transportation company(any of you have experience with medical transportation?). client has about 800 per month. Majority of my clients will be Med. Transportation, Home Health Care and Chiropractors. Now, I have looked through few PM software such as Kareo, NueMD, MediTouch but no luck so far. They are either too expensive to begin with or charge per NPI. I need a software(Web-based) that does not charge per NPI/provider because some of my clients will be small anyway. I have worked as a medical claims rep in the past and familiar with HCPT or ICD codes but never did actual, grinding billing work. Now, I also came accros Xena here in the forums but there is little information out there (get more hits for solutionmedicalbilling than Xena..lol). Any suggestion would help.

Xena was still in the developmental phase last I heard and I believe funding might have been an issue.  The problem most have with the web based softwares is the fees.  I don't know of any to recommend.  But just remember, I know it is hard to start off with an expensive software but you want to remember that you need the software to grow with you and switching down the road is expensive and a huge undertaking.  You may want to consider server based software with internet options or connection software such as Logmein.com

I have to agree with Michele. A part of my still shudders whenever someone mentions cost being an issue not to go with a good reputable company because I am one of those to have had to learn this lesson the hard way. If I had it to do all over again, I would have WAITED until I could afford a good PM system. Conversion's are extremely messy and take valuable time away from your business. I'm not saying that costs should not be a factor, but they shouldn't be the ultimate factor. Do not sacrifice quality, in the end your client suffers and so does your business.

Thanks guys. I narrowed down to two PM Softwares which are Kareo and TotalMD. They both have pros and cons. Kareo is an all around system that comes with integrated clearinghouse but the downside is that they charge a monthly fee per NPI/Provider and if you grow it can cost you. TotalMD has monthly per user fee and unlimited NPI/Provider but no clearinghouse.  So if I go with TotalMD then I might get OfficeAlly as a clearinghouse.

Do you guys ever charge a monthly management/maintenance fee to offset the per provider fee? I have  my first client lined up and he says that his current medical billing company charge him a monthly management fee of $200 per month

That is TOTALLY up to you.. I can't talk about TotalMd as I don't know anything about them. I do however know about Kareo and they are worth every penny.. while I do tell new billing companies Kareo is NOT for them, I do think they have an awesome system and I've been very happy with them, as my clients using them as well.     I can tell you that I charge a flat monthly fee to my clients, as I no longer like the % based model.. and yes, software/clearinghouse fees are included in my fee. hope that helps. :)

Mustafe, would you be open to discuss how much did kareo cost you? I have just started my part into medical billing and will be keen to know how much a good Practice management software costs.

Kareo has multiple pricing structure ranging from $69 per month to $300 per month. The only downside is that you have to pay that amount for each new client/provider u sign up but claims you can submit are unlimited. Clearinghouse is also integrated. After all this hassle I found out that Kareo does not support Home Health Care and big junk of my future clients are Home Health Care Agencies and now I have to again look for another software but other than that I wouldn't hesitate to start with them.

If you don't mind me asking, which option for Kareo did you end up going with since you are just starting out?  Also, what made you decide to go with Kareo over TotalMD since that is the other one you mentioned you were considering.  I have used both and I like TotalMD much better so I was just curious.
