I have a question, if a patient calls to make a partial payment with a credit card and then calls again the same day to pay off the balance with the same card, can you run the card the same day or will that be considered fraud? Thank you.

No, this isn't fraudulent. Did someone tell you it was? I often have patients pay their copays/balances with a credit card when they first show up for their appointment, then they give me the same credit card 20 minutes later to pay for products they are purchasing at the end of their appointment.

Thank you so much. That is exactly what I thought. Yes, I have spoke to some posters and they said they cannot run a credit card twice on the same day for the same patient because it was fraudulent, and being in business for 15 years, I knew that could not be the case. Thank you so much.

What if the card is run incorrectly the first time or if it declines once and they try it again? IS that considered fraudulent?

Not to my knowledge. I have also had situations where a patient tries to pay with a Flex/Benefits card given to them by their insurance company, and there is not enough money in the account to cover what they owe, and I will get a decline. They then call the number on the back of the card, and figure how much is actually on the card, and have me run it again for that dollar amount, and it goes through. Or, they send in a statement with the card number on back, I run it, it declines, I call them, they get more money loaded into the account through Flex, call me back same day, and have me run it again. Same deal with running card incorrectly by keying in numbers when card is not present, then rekeying it again correctly.
