Proving timely filing

I have had the experience a few times in the past, that I have billed an insurance company multiple times, only to be denied payment six months later for lack of timely filing.  I would like to request a review and appeal it, but I'm not sure how to prove that I did send the claim on time, when they deny they ever received one from me.  Any ideas on this problem?

We always appeal, and it usually gets paid.  There are always those couple of sticklers out there. 

What we do is reprint the claim, then attach a patient ledger that we can print out from the computer.  It shows the charges, and the dates submitted and number of times that it was submitted to the insurance carrier.  We also attach a preprinted letter stating that the claim was previously submitted but that it was not received or processed.  It also states that we have attached proof of the previous submissions along with another claim for processing.  It instructs them to reprocess the claim since it was originally submitted in a timely manner.

That usually does it for us.

You can also use electronic billing reports to show when the claim was originally sent and that it was accepted by the insurance company.  This shows them that the claim was submitted in a timely manner.  Jist make sure that it was accepted, and not rejected for some reason, and not refiled.

Very True!  If the claim was filed electronically you can use the electronic report for proof.  I forgot about that.

Even if it was denied, if it wasn't denied too long ago you could use it as well.
