Minimalist Billing Software

I am looking for minimalist billing software for our behavioral health agency.  It does not have to be sophisticated or fancy software.  We are not looking to do notes, medical records, HR, or anything too involved.  Our Executive Director is old school and wants everything to be paper - based.  I do not know why.  I do not argue.  However, I am looking to improve the efficiency of the billing process to make things easier and faster, the most inexpensive way possible.  The following is what I do now:
  • 7 providers
  • Approximately 200 clients per year
  • Weekly Billing Logs are filled out in an Excel document by the Provider and submitted to me.
  • I enter the weekly billing into QuickBooks where I maintain payroll and track claims.
  • I then fill out PDF 1500 forms for each client every 3 - 4 weeks.  I have all previous claims saved for the client.  I will copy a previous claim, paste with a new file name, then update the dates and procedure codes.  Save and then print.
  • Submit claims via online portals by Optum, Availity, Office Ally, PCAce, BCBS, Aetna, etc.
What takes so much time is entering the claim data into the PDF forms, saving, and then printing the claim form.  The claims must be printed per Executive Director's wishes.  It takes so much time, due to the nature of PDF, to save each individual claim and then print each individual claim.  Instead of being able to hit print and batch print all the claims at once.

Is there a software where I can import excel data, from the billing log, and create 1500 forms or a type of claim form with all the pertinent billing information.  Or, a program to export Excel data into the PDF form being used.  It is the standard 1500 PDF form being used.  If the software can create an 837(???), the file where I can upload the claims, that would be fantastic and save even more time.  However, it does not have to.

Right now, we spend about $35/month for Office Ally for claims that the insurance company does not have its own portal.  Other than that, we have no other claim submitting expense.  I am hoping to purchase this software instead of the monthly fees.  If it is monthly, I need it to be inexpensive.  I can continue to do what we are doing now because it works and we are successful at it.  However, I am looking to speed this process up and make it so it's not so annoying and tedious.  All these billing software companies that I have looked at do not have pricing listing, want to do these demos, and want to sell me the "whole" package where it is doing everything.  That is not what I need.

Any suggestions would be much appreciated.  Thank you.

Office Ally has a program that I believe is free, at least it used to be.  I personally don't like it, but it might do what you're looking for.

Also NowMD is very inexpensive.  I believe about $350 (one time fee)

First...any software you convert  TO.. will be upgrade. OA i basic/mediocre at best..most users regret their choice when they see what's out there.

With that in mind.. no one here can point you in the right direction. YOU will need to pay for conversion, and i've seen some bad OA conversions.

Michele actually did point me in the right direction...I was just looking for suggestions...so thank you to her...which led me to find some others that i am looking at...

I actually do like Office Ally for what it does for me.  I do not know why it gets such a bad rap on this message board.  However, I have never used anything else.

Actually if I understood you correctly you are not currently using any PM, just Quickbooks and a pdf filler for the CMS forms correct?  And then OA for a clearinghouse but not for their software.

Speedysoft recently switched to the monthly fee.  I agree, I liked it better as a flat fee.
