We have a new biller.   We had a patient come in for a wellness and a flu shot.  When they keyed the visit and injection they keyed it under the wrong patient.  It was billed to medicare.  Medicare denied the visit they already paid for one this year but paid for the flu shot.  How do I fix this

I have went to the medicare site and tried to fill out the  Refund Overpayment - Electronic Check (e-Check) Form but when I hit submitt it takes me back to the top of the page.  All info I entered is correct

It sounds like you are having a techni8cal issue with the website.  I would try it again a day or two later, and if you still have the same problem, call their help line.

You have to have them void the claim since it was processed under wrong patient. Follow your MACs instructions if there is a refund, but it's important this gets VOIDED from the patients file since it was not their services. Then you can bill the correct patient.

Most MACs allow you to re-open claims for adjustments, corrections and for voiding over the phone. If you are having technical difficulty still, you may try reaching the telephonic re-opening dept and request for them to void the claim. They will recoup the money eventually.

Also, internally in your billing system, you may move the Flu shot payment out as an unapplied payment and adjust it when Medicare requests for a recoup adjustment.
