Billing with old tax Id and/ New tax id

Good Morning everyone;


The same Doc that I contracted told me that she just got a new tax id #.
I was told that she still getting paid on her old tax id#.

what is the reason for getting a new tax Id #?  Did she move from another state maybe?

I need clarification  before I ask her any questions.

Only she would know why she got a new tax id, but new W9's will need to go to the carriers informing them of the change as well as Change notice to Medicare and you also want to make sure her NPI matches her Tax ID or your in for a big mess.

she told me her NPI is the same #. she said it never changes.
How can I verify that her NPI matches her new tax ID #?

Her NPI won't change, but her tax ID must be linked to it.  She needs to go in and update her NPI with her new tax ID.

Changing her tax ID is a big deal.  Like Linda said, all the insurance carriers need to be notified.  Medicare requires CMS forms to change the tax ID.  Our local BC requires new contracts to be signed.  Etc. etc. 

You need to ask her why she changed her tax ID#.  Then tell her that all insurance carriers need to be notified and that can take time, and it can affect payment.

When the IRS and NPI files are not linked there is a HUGE mess. I had 3 clients with this problem and it took months to finally get it taken care of. Changing the Tax ID # is a BIG deal because it has to be linked and match the NPI database. EXACTLY. One of the three clients claims were held up for months all because the IRS file did not have a suite # with his address and when he applied for his NPI the suite number was on there.
Something that small will KILL reimbursements.

Also YOU must be sure to do W9's to the carriers letting them know of the change or you will again hold up payment.

Linda is right.  If this isn't handled correctly it can delay payment for months.  Dr's don't think it's a big deal to change things like this, but it is.  I actually had a provider move once, just down the street and not tell me!  (We dealt with him thru mail & fax only).  All of the sudden payments screeched to a halt and he wants to know what happened!

when they change addresses, I think they think that since there is a change of address on file for a year they have plenty of time, but that's not the case. ONce the carrier sees the new address on the claim they can kick it out for not matching. I have had providers do that too. (move and think they will still get paid) With TAX ID's it can be even trickier as the examiner can just kick the claim out when they can't match up the TAX ID, if an examiner does pay the wrong Tax ID it's also a problem.

Yeah, because if they process under the new tax ID the provider is not in network and payment may go directly to the patient.  And THAT is a nightmare.
