Using a Clients EMR/Billing Platform

We are looking at the possibility of taking on a new client, but having to file, post, and work claims in their current system.
We have always switched clients over to our system, because of different reasons such as:
*No learning the intricacies of system we've never billed out of
*Maybe its an inferior system and ours has been vetted
Wanted to get your opinions on this, and particularly working in Kareo.  We have gotten a few clients who we previously using Kareo, and have totally turned their finances around.  Not sure if it was our service, or Kareo, or a little of both.
But if anyone could share their thoughts/benefits, outside of the client paying claims and statements, on working in their system I would greatly appreciate it!

Kareo is equally a good product like few others in the market and has helped a lot of users in having a hassle-free work flow.

Using the Client's software is more beneficial in terms of having a better control with handling old AR. Posting ERAs can be made easy as we don't have to reconcile between the items posted within our new system vs. those that did not post as they pertain to the old system, etc. Above all, we would not incur any other costs than the cost of labor. Hope this helps.

We have our own system, Lytec, and we also work out of several other systems that our clients have.  We have many clients that do not have any system, so we use ours.  We have other clients who have a system, but want us to use ours anyway.  And then we have some that want us to use their system.  Any of these ways work for us. 

Using a new system can be challenging but personally I don't mind learning new systems.  I like to see what other systems can or can't do.  So far we haven't seen one we like better for the price than Lytec.  We definitely have seen some we like, and some we don't.  But we have never had trouble learning what we needed to in order to use the system. 

One of the things we notice/look for when using a PM system is 1. the ease/flow of getting around  and 2. the reporting capabilities.  Those seem to be the biggest variables.

One advantage of using their system is less data entry on our end.  One of the disadvantages is no control over quality of input.  Also, if they have a mess to clean up (old AR) it can make it harder to get a handle on the current billing.

With all of the different systems we've used, we have not yet used Kareo so I can't comment on that one.

I realize I never really answered your question.  I gave you my thoughts but I personally would not turn a client away because they want me to use their system.  I may turn them away for other reasons!   ;D  But not because they want me to use their system.  I would ask them if they have someone that can give you the basics on the system, and if they have support because you can use support if needed.  Also, the internet has SOOOOO much information out there that you can google what you are having trouble with and most likely find your answer.

Michelle, Do you offer License's to use Lytec?  What Clearinghouse is it affiliated with?

I don't offer licenses.  I use a reseller.   I'm not sure what clearinghouse Lytec is affiliated with but we use ClaimMD.  We used to use Office Ally.  You can use any clearinghouse you want usually.  We are very happy with ClaimMD.

Hi Michele So, just to get my facts straight, you use the Lytec Billing platform with the Claim MD clearinghouse?  Have you been pleased with that setup?  Anything you would change?  Can you use any statement vendor?

I don't maintain any software, system or clearinghouse costs at all. I work in the clients existing system in place. Even if they want to switch, I'll help them, make recommendations, even demo with them but they hold any and all licenses and costs. This has benefited me as I'm able to market as diversified this way, not to mention I don't incur those expenses and can keep my fees more competitive. I've been a billing company since 1997 and the costs and headaches associated with conversions, was getting old. I also no longer have to deal with the ownership change of hands that happens so much with these vendors in this business. Oh..and it's also much easier terminating a contract if I need to :)

Thank you Linda, do you have to overcome the push-back from your employees who claim they cannot "learn another system".  What if the "system" is part of the problem the client was having in the first place?  Do you have a Go-To system?

I don't find it a problem, I've been doing this since the late 90's so there are not too many programs I haven't seen. I indeed do come across ones using a system I think is partly to blame for problems, I make recommendations and I do have a short list of preferred programs, depending on their size, volume, budget. Again, though, it's the clients cost. I also give them the truth about conversions, many vendors will tell you it's an easy transition/conversion when it NEVER is. Conversions can also be costly. I have only run across one client in past decade that had a system I just couldn't work on because it was awful, I gave them recommendations and we did demo's where I showed them certain things and they were satisfied.

I am happy with our setup.  I like the ones where we work from the provider's system, and I like our system.  I am very happy with ClaimMD.  Lytec is very easy to use software and it does what we need.   We use BillFlash for our patient statements.  Very happy with them too.

We use Systems Management Group.  Their number is 516-520-8551.  We do not get anything for referrals but mention that we sent you.  They take good care of the people we send over.   :)

They really don't have anything to do with ClaimMD.  We set that up totally on our own.  You can get their information at 855-757-6060 or https://www.claim.md/.  We don't receive anything from them either but would appreciate it if you mention we sent you over.  They are great to work with and they will set you up.
